Position Summary
The Administrative Assistant provides high-level administrative and operational support to the Executive Director while assisting other team members as needed. This position plays a key role in ensuring the efficient day-to-day operations of ROC Royal Inc. by coordinating administrative processes, maintaining accurate records, supporting meetings and events, and assisting with communications and reporting.
The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced nonprofit environment. This individual demonstrates professionalism, discretion, and a strong commitment to ROC Royal Inc.'s mission of strengthening communities and empowering individuals and families.
Essential Duties and Responsibilites
Administrative Support:
Provide administrative support to the Executive Director and other staff members as assigned.
Manage calendars, schedule meetings, coordinate appointments, and prepare correspondence.
Maintain organized electronic and physical filing systems.
Assist with document preparation, data entry, copying, scanning, and other administrative tasks.
Maintain confidentiality of sensitive organizational, employee, donor, and participant information.
Assist with preparing reports, presentations, meeting agendas, minutes, newsletters, and other organizational materials.
Assist with board meeting preparation
Perform other duties as assigned to support organizational goals and program needs.
Database & Records Management:
Create, maintain, and update volunteer, donor, participant, and grant databases.
Maintain accurate records and ensure data integrity across organizational systems.
Assist with grant reporting by compiling required documentation and supporting materials.
Prepare and submit internal reports and agency documentation as requested.
Qualifications
Associate degree in Business Administration, Social Services, or a related field required; Bachelor's degree preferred.
Equivalent combination of education, training, and relevant administrative experience will be considered.
Minimum of two years of administrative support experience, preferably in a nonprofit, education, or community-based organization.
Experience supporting executive leadership, board meetings, or grant administration is preferred.

Strong customer service mindset and ability to interact respectfully with individuals from diverse backgrounds.
Experience coordinating meetings, events, or volunteer activities is preferred.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), Google Workspace, Zoom, and other cloud-based collaboration tools.
Experience with CRM or donor database systems is a plus.
Flexibility with availability; ability to work some evenings and/or events
